A User Insight Repository is a structured, actively usable platform on which UX insights are categorized, linked and made searchable. Unlike a passive research archive – a mere repository of study reports – a repository allows the targeted retrieval of insights by topic, target group or product area, as well as the recognition of patterns across multiple studies. Typical tools are Dovetail, EnjoyHQ or Confluence with structured tagging systems.

Particularly suitable for companies with a high level of UX maturity that regularly conduct user studies and want to ensure that the insights gained are not lost but remain usable in the long term.

The implementation effort depends primarily on two factors: the volume of existing studies and the degree of existing documentation. Experience shows that the initial setup, including the tagging structure and population with existing insights, takes between two and eight weeks. After that, the actual value arises through continuous maintenance, typically one to two hours per completed study. We accompany you through the entire process and train your team.

The choice of tool depends on the UX maturity level and the existing system landscapes. Specialized solutions such as Dovetail or EnjoyHQ offer powerful analysis and tagging functions but require onboarding and ongoing license costs. For teams with lower volume, a structured Notion or Confluence setup may also suffice. We advise you tool-neutrally and help with the decision as to which solution fits your maturity level, your budget and your internal processes.
